Pennsylvania Security Deposit Records Checklist
Keep the lease, deposit records, notices, condition documentation and questions for professional review together.
Build a complete deposit file
Retain the signed lease, deposit amount and receipt, relevant account records, condition reports, photos and correspondence. Record actual events and dates. Do not infer a payment, deduction or delivery date from an incomplete record.
Review requirements before acting
Deposit limits, account handling, notices and return requirements depend on the applicable law and tenancy. Consult the current Pennsylvania Landlord and Tenant Act and obtain legal advice for a specific dispute. This resource is an administrative checklist, not legal advice.
Plan the handoff
Identify who holds the deposit, who maintains the supporting records and who is authorized to send any notice. Reconcile the file with the lease and payment records before explaining an amount to the resident.
