Our services combine real estate brokerage experience, property operations, investment analysis, seller support, offer and application workflows, valuation tools, AI-assisted research, and communication tools.

Information you provide
- Contact details such as name, email, phone number, mailing address, and communication preferences.
- Property information such as property address, unit count, rent roll details, asking price, condition, seller goals, buyer goals, investment goals, management needs, and transaction timeline.
- Documents you upload or submit through our tools, including offer documents, rental application materials, property records, photos, reports, and supporting transaction files.
- AI chat prompts, questions, messages, and follow-up details you provide to HPA AI or similar assistants.
- Account, portal, and workflow information if you use current or future login-based tools.
Information collected automatically
- Device and usage data, including browser type, IP address, pages visited, approximate location, referring pages, timestamps, and interactions with forms or tools.
- Cookies or similar technologies used for functionality, analytics, fraud prevention, and improving the user experience.

- To operate tools such as ValuAI, CommercialValu, Seller, Offers, HPA AI chat, calculators, property reports, offer portals, rental application workflows, and future real estate apps.
- To create, format, save, send, or improve reports, recommendations, summaries, checklists, and real estate workflows.
- To process contact forms, send confirmations, route messages, and communicate by email, phone, text, FaceTime, WhatsApp, or similar channels when appropriate.
- To maintain security, prevent spam, debug errors, monitor performance, and protect users, property owners, sellers, buyers, agents, and our business.
- To comply with legal, regulatory, professional, MLS, brokerage, fair housing, recordkeeping, and transaction obligations.
- To evaluate and improve our services, including future tools and AI-assisted experiences.
4. AI Tools and Automated Assistance
Some HPA services use artificial intelligence, including third-party AI providers, to help draft responses, summarize information, analyze property facts, compare scenarios, generate reports, answer questions, and route users to relevant tools or pages.
AI output may be incomplete, outdated, inaccurate, or based on assumptions. AI-generated information is not legal, tax, financial, appraisal, engineering, inspection, lending, insurance, or investment advice. You should independently verify important information and consult qualified professionals before making decisions.
When you use AI chat or AI-powered tools, your prompts, uploaded content, property facts, and generated outputs may be transmitted to AI providers or other technology vendors that help us provide the service. Do not enter highly sensitive personal information, passwords, bank information, Social Security numbers, or protected documents into AI chat unless we specifically provide a secure workflow for that purpose.
6. Security and Retention
We use reasonable administrative, technical, and organizational measures designed to protect information. No website, AI tool, email system, or internet transmission is completely secure, so we cannot guarantee absolute security.
We keep information for as long as reasonably needed for the purposes described in this Policy, including to provide services, maintain records, comply with legal or brokerage obligations, resolve disputes, enforce agreements, improve tools, and protect the business. Retention periods vary depending on the type of information, the tool used, and legal or operational needs.
If we become aware of a security incident involving personal information, we will evaluate the incident and provide notices when required by applicable law.
7. Your Choices
- You may contact us to request access, correction, deletion, or limitation of personal information, subject to legal, transaction, security, and recordkeeping requirements.
- You may unsubscribe from marketing emails if we send them. Transactional or service emails may still be sent when necessary.
